A structured and legally compliant termination process is essential to protect both the organization and the employee. HR must ensure fairness, documentation, and statutory adherence at every stage.


𝟭. 𝗚𝗿𝗼𝘂𝗻𝗱𝘀 𝗳𝗼𝗿 𝗧𝗲𝗿𝗺𝗶𝗻𝗮𝘁𝗶𝗼𝗻

Misconduct, poor performance, policy violation, absenteeism, redundancy/business reasons, or termination during probation as per appointment terms.


𝟮. 𝗗𝘂𝗲 𝗣𝗿𝗼𝗰𝗲𝘀𝘀 & 𝗗𝗼𝗰𝘂𝗺𝗲𝗻𝘁𝗮𝘁𝗶𝗼𝗻

Issue warnings where applicable, serve a show-cause notice, record the employee’s explanation, conduct a domestic enquiry if required, prepare findings, and maintain proper records.


𝟯. 𝗔𝗽𝗽𝗿𝗼𝘃𝗮𝗹 𝗪𝗼𝗿𝗸𝗳𝗹𝗼𝘄

Termination must be recommended by HR, approved by the Department Head, and finally authorized by management or the designated signatory.


𝟰. 𝗧𝗲𝗿𝗺𝗶𝗻𝗮𝘁𝗶𝗼𝗻 𝗟𝗲𝘁𝘁𝗲𝗿

The letter must clearly mention the reason in factual terms, effective date, notice period or salary in lieu, and the last working day.


𝟱. 𝗔𝗰𝗰𝗲𝘀𝘀 & 𝗔𝘀𝘀𝗲𝘁 𝗥𝗲𝗰𝗼𝘃𝗲𝗿𝘆

Recover ID cards and company assets, secure official documents, and disable system, email, and application access.


𝟲. 𝗛𝗮𝗻𝗱𝗼𝘃𝗲𝗿 & 𝗖𝗹𝗲𝗮𝗿𝗮𝗻𝗰𝗲

Ensure work handover, complete HR, Admin, and IT clearances, and obtain a no-dues confirmation.


𝟳. 𝗙𝘂𝗹𝗹 & 𝗙𝗶𝗻𝗮𝗹 𝗦𝗲𝘁𝘁𝗹𝗲𝗺𝗲𝗻𝘁

Process salary up to the last working day, leave encashment, eligible incentives/bonus, and recoveries such as advances or notice-pay deductions.


𝟴. 𝗦𝘁𝗮𝘁𝘂𝘁𝗼𝗿𝘆 𝗖𝗼𝗺𝗽𝗹𝗶𝗮𝗻𝗰𝗲 (𝗜𝗻𝗱𝗶𝗮)

Initiate PF exit, update ESI records, process gratuity where applicable, and ensure tax compliance including Form 16.


𝟵. 𝗘𝘅𝗶𝘁 & 𝗥𝗲𝗹𝗶𝗲𝘃𝗶𝗻𝗴 𝗗𝗼𝗰𝘂𝗺𝗲𝗻𝘁𝘀

Conduct exit interviews where appropriate and issue relieving and experience letters as applicable.
